1. Describe the outcome
What must be dug, moved, lifted, compacted, powered or accessed—and by when?
2. Measure the work area
Record access width, working height, ground conditions, gradients and overhead hazards.
3. Quantify the task
Give approximate volume, weight, distance, lift radius or required platform height.
4. Choose support level
Decide whether you need a machine only, an operator, attachments or a managed work package.
5. Detail site rules
Include inductions, working hours, documentation, traffic controls and environmental constraints.
6. Define the quote
Ask suppliers to separate machine, transport, operator, fuel, minimum hours and additional charges.
